Research Administrator

The Institute for Work & Health (IWH) is an independent, not-for-profit research organization. Our mission is to promote, protect and improve the safety and health of working people by conducting actionable research that is valued by employers, workers and policy-makers.

IWH is currently seeking a qualified person to fill the position of Research Administrator.

About the position

The successful candidate will work with IWH scientists providing administrative and research support. This is a full-time position.

Core duties and responsibilities

  • Prepare presentation materials for internal and external use, and provide graphic support for work plans, tracking documents and presentation materials.
  • Coordinate the preparation and submission of grants to federal and provincial granting organizations (e.g. CIHR, SSHRC, MLTSD) and other granting organizations. Specific tasks include completing web-based grant applications, preparing CV modules and editing grant proposals.
  • Develop and maintain electronic bibliographic library databases, including retrieving and organizing electronic and printed articles and developing project-specific bibliographic reference lists.
  • Assist with the preparation, editing and submission of manuscripts, research proposals, surveys, reports, correspondence, memos, and other written text for internal and external distribution.
  • Assist scientists in managing the day-to-day activities of their research projects, including but not limited to:
    • providing administrative support for a variety of tasks such as scheduling internal and external meetings and conference registration, including booking travel and hotels and submitting expenses reports;
    • preparing and distributing meeting materials, and providing support such as photocopying, filing, etc.;
    • assisting with data organization and management;
    • participating in the IWH Research Administrators Team.
  • Carry out other duties needed to help drive our vision, fulfill our mission and uphold the organization’s values.

Education and experience

  • A college or university degree and five-plus years of related work experience.
  • Previous research experience as an administrative/research assistant in a health or work -related discipline. Some research training or experience an asset.
  • Sound knowledge of, and experience with, the Windows environment, including Word, PowerPoint and Excel.
  • Experience with endnote referencing software.
  • Strong interpersonal and communications skills to work with IWH staff and external stakeholders.
  • Excellent multitasking and time-management skills, with the ability to set priorities and meet deadlines.
  • Strong writing, editing and proofreading skills.

Salary range

Salary will depend on qualifications and experience and will be in the range of $52,000 - $58,000. Suitability for the position will be assessed at six (6) months.
